See every project
at a glance.
Your pipeline, tasks, team assignments, and financials — organized by stage so you always know where every client stands.
Pipeline stages you define
Create your own stages — Inquiry, Proposal Sent, Contract Signed, Deposit Paid, Planning, Event Day, Complete — and drag projects through your workflow as they progress.
Tasks with custom columns
Add status, people, dates, timelines, dropdowns, checkboxes, and numbers to your task board. Every column is configurable — build the exact view your team needs.
Assign your team
Add team members to projects and assign tasks to the right person. Everyone sees only the projects they're working on — no clutter, no confusion.
Automations that move work forward
When a contract is signed, auto-move the project to "Booked." When a stage changes, create a task or send an email. Let your pipeline run itself.

FAQsFAQs
A project is the central hub where you manage everything related to a client's event. It holds documents (proposals, contracts, invoices), leads (clients), team members, tasks, financials, notes, and a full activity log — all in one workspace. Projects can be created manually, converted from a lead, or generated from a marketplace booking.
Stages represent where a project sits in your workflow — from initial inquiry to final delivery. You define your own stages (e.g., Inquiry, Proposal Sent, Contract Signed, Deposit Paid, Planning, Event Day, Complete) and can reorder, rename, and color-code them at any time. The projects page shows stage cards at the top with real-time counts, so you can see your entire pipeline at a glance and click to filter.
The Project Tasks board is a global view of tasks across all your projects — organized by event month. Each project row expands to show its tasks with customizable columns (status, people, dates, timelines, dropdowns, checkboxes, numbers, text). You can filter by assigned person, sort by any column, search across project names and task titles, and hide or show columns. Changes sync instantly between the global board and individual projects.
Eight custom column types: Status (color-coded dropdown labels), People (assign one or multiple team members), Date (date picker), Timeline (date range for multi-day tasks), Text (freeform input), Numbers (numeric values), Checkbox (toggle), and Dropdown (single-select options). You can add unlimited columns, reorder them, and control visibility per team role.
Yes. Each project has an "Add People" action where you can attach clients (leads) and assign team members. Team members with the Member role only see projects they're assigned to — they won't see other projects in the list. When you assign a task to someone who isn't on the project yet, Wedy prompts you to add them automatically.
Every project has a Financials tab with three sections: a revenue overview chart with a custom date range picker, a due and overdue payments table with aging badges showing days outstanding, and a completed payments table with QuickBooks sync status. Payments flow through Smart Documents — create an invoice or proposal from within the project, and all payment activity appears here automatically.
Yes. Wedy automations support three project triggers: when a project reaches its start date, when it reaches its end date, and when a stage changes. Actions include moving the project to a new stage, adding tags, creating tasks with configurable due dates, and sending AI-powered emails. Common examples: contract signed → move to "Booked"; first payment received → move to "Deposit Paid"; stage changes to "Booked" → create a "Schedule kickoff call" task.
Leads are prospective clients in your CRM — inquiries from forms, manual entry, CSV imports, or the Wedy marketplace. Projects are active engagements where you manage the full event lifecycle: documents, tasks, team assignments, financials, and scheduling. When a lead books, you convert them to a project (or create one manually and attach the lead). The lead record stays in your CRM for history, while the project becomes your working workspace.
